As one of the few promotion agencies that has always prioritized developing and implementing its own reporting system, we asked ourselves: what tools do we need, and which software will allow us to synchronize and compare KPIs with our clients, sales partners, and employees?

Interfaces – From Excel Sheets to Handwritten Notes

The foundation for any evaluation is the data itself.

We receive data from clients, employees, promoters, and many others — through various interfaces: sometimes through APIs and Excel sheets (yay!), sometimes through custom systems (meh…), and sometimes via handwritten notes (oh no…).

Often, this raw data must be transformed to make it “database-ready.

Due to the overlap and frequent incompatibility between these different databases, a centralized evaluation system is essential. For us, the clear choice: Power BI.

Success Through Analytics

Of course, raw data, simple summaries, and basic visuals aren't enough to recognize success, failure, or stagnation.

And the popular saying among data analysts, “Never trust a statistic you didn’t fake yourself,” should never guide serious evaluation.

Instead, data should remain as “natural” as possible while being prepared just enough to reveal trends and allow for forecasting.

Power BI offers a wide variety of visualization options and analytical tools — supported by custom-built logic — and provides a high degree of flexibility.

From Dashboards to Profitability

It’s essential that evaluations are tailored to each user’s needs and KPIs.

A project manager requires a rapid and precise overview of the whole project to assess profitability. For field staff, it’s often more effective to view daily active locations to react and adjust immediately.

Clients are usually focused on total sales volume and Return on Investment (ROI) to determine whether the project is successful.

Not for the Faint of Heart

Sure, operating such a platform demands significant effort — felt by both the team and in financial terms. There are costs for ongoing maintenance and development. However, there are also savings compared to relying on third-party providers offering proprietary systems that require costly customization for compatibility.

Ultimately, the choice of what’s right for your project or business lies, as always, in the eye of the beholder. As for us: no regrets.
